1. Reservation Requests

Customers may request a reservation through the AKopiCafe website by providing complete event and contact details.

• Reservation requests are reviewed before approval.
• AKopiCafe may contact the customer to verify booking details.
• Incomplete or incorrect details may delay reservation processing.
• AKopiCafe reserves the right to decline requests when the selected date or location is unavailable.

2. Booking Approval

A reservation is considered pending until AKopiCafe reviews and approves the request. Customers will be notified once the booking status has been updated.

Approval may depend on event date, event time, location, package availability, staff availability, and other service requirements.

3. Downpayment Policy

A 50% downpayment is required to secure an approved reservation. The booking is not fully secured until the required downpayment has been confirmed.

• Payment instructions will be provided after approval.
• Customers must use official AKopiCafe payment channels only.
• Proof of payment may be requested for verification.
• The remaining balance must be settled according to the agreement with AKopiCafe.

4. Cancellations and Refunds

Once a booking has been confirmed, cancellations and refunds are subject to AKopiCafe’s reservation policy.

Customers are encouraged to contact AKopiCafe as early as possible for any changes, cancellation concerns, or scheduling issues.

5. Event Details and Customer Responsibility

Customers are responsible for submitting accurate and complete information during the reservation process.

• Correct full name and contact number
• Accurate event date and time
• Complete event location
• Correct event type and selected package
• Updated contact information for booking communication

6. Event Location and Setup Area

The customer must provide a safe and suitable space for the AKopiCafe coffee cart setup. The setup area should allow staff to serve guests properly and safely.

• The setup area should be accessible before the event starts.
• The area must be safe for staff, guests, and equipment.
• Customers should inform AKopiCafe about venue restrictions, stairs, parking issues, or access limitations.
• Additional coordination may be needed for venues outside regular service areas.

7. Package Selection

Customers are responsible for reviewing their selected package, drink options, cup quantity, and total amount before confirming the reservation.

Package availability, inclusions, and pricing may be updated when necessary. AKopiCafe will confirm the final booking details before the event.

8. Schedule Changes

Any request to change the event date, time, location, or package must be communicated to AKopiCafe as early as possible.

Schedule changes are subject to availability and may require additional confirmation.

9. Service Limitations

AKopiCafe aims to provide reliable and professional coffee cart service. However, service may be affected by factors beyond our control.

• Unexpected weather conditions
• Venue restrictions or access issues
• Power supply or space limitations
• Traffic, emergencies, or unavoidable delays
• Incorrect event information provided by the customer

10. Customer Conduct

Customers and event guests are expected to treat AKopiCafe staff with respect. AKopiCafe reserves the right to refuse or stop service in situations involving unsafe behavior, harassment, threats, or venue conditions that may risk staff, guests, or equipment.

11. Website Information

AKopiCafe works to keep website information accurate and updated. However, package details, pricing, availability, and service coverage may change when necessary.

Final reservation details will be confirmed directly by AKopiCafe before the event.

12. Privacy and Customer Data

Customer information submitted through the website is used for reservation processing, customer communication, and service coordination.
